This notice explains which personal data is processed on westudiolab.de and for what purpose. westudiolab is a business unit of WE Studio Media GmbH.

Technical delivery of the website
When the website is accessed, technically necessary connection data such as IP address, time, requested URL and browser information is processed by servers and network components. This is required to deliver the website, maintain operational security and prevent abuse. The public website currently does not use browser-based analytics or advertising trackers.
Hosting and servers
The public website westudiolab.de is operated on our own server infrastructure in Germany. For individual applications with increased data-protection and separated-data requirements, including WESALDO, we use servers of Hetzner Online GmbH, Industriestr. 25, 91710 Gunzenhausen, in German data centers. These privacy-sensitive applications are operated exclusively on the designated Hetzner servers in Germany. Technically necessary connection data and data required within the respective application are processed there.
Contact form
When you use the contact form, we process your name, email address, type of inquiry, message and, where applicable, the selected service. The information is sent through the configured mail server to the internal email address assigned to the relevant inquiry so that we can handle your request. To reduce abuse, the requesting IP address is used in the web process for an hourly rate limit. Depending on the inquiry, processing is carried out to handle pre-contractual requests or on the basis of our legitimate interest in communication and protecting the form.
OpenAI Ads conversion measurement
To measure the effectiveness of our OpenAI Ads, a conversion event may be sent server-to-server to OpenAI after a project inquiry has been submitted successfully. We send the lead_created event type, the time, the page used and - when the visit originated from an OpenAI ad click - the oppref reference supplied by OpenAI. Your name, email address, message and the IP address used for rate limiting are not sent to OpenAI for this conversion measurement. No OpenAI pixel is loaded in the browser and no additional advertising cookie is set for this purpose. To preserve the source of an ad visit across further internal page views, existing oppref and UTM campaign parameters are carried across internal links and stored for internal marketing analysis. We do not set an additional advertising cookie or an additional Local Storage entry for this purpose.
Local preferences and cookies
The public website uses browser storage only for functional preferences such as language and light/dark appearance. These settings are not used to build usage profiles. A technically necessary session cookie is used only in the protected CMS administration area and is not required for ordinary visitors.
Website 3.0 project assistant
The Customer Chat under /customerchat is a separate application with its own privacy information. Before or while using the chat, the information provided at /customerchat/privacy applies. The chat is not required for normal use of the rest of the website.
Recipients and disclosure
Data is shared only with technical service or communications providers where this is necessary for hosting, network operation, email delivery or the function you choose. For OpenAI Ads, only the server-side transfer described under “OpenAI Ads conversion measurement” is used. Personal data is not sold.
Retention
Personal data is retained only for as long as necessary for the relevant inquiry, operation of the service and any applicable statutory retention obligations. Short-term technical protection data is discarded when its purpose ceases to apply; the contact-form rate limit uses a one-hour window.
Your rights
Subject to the applicable legal requirements, you have rights including access, rectification, erasure, restriction of processing, data portability and objection. You may also lodge a complaint with a competent data protection supervisory authority. Privacy inquiries can be sent to info@westudio.de.
Robotics Interest List
When registering interest in the robotics area, we process the email address provided as well as voluntary details regarding name, company or industry, interests and free text. The registration is confirmed through double opt-in. Before confirmation, the entry remains pending. After confirmation, it is stored as confirmed and we receive an internal notification. Processing is based on your consent pursuant to Art. 6(1)(a) GDPR, which you provide via the checkbox. You can withdraw this consent at any time with effect for the future by emailing info@westudio.de. As evidence, we store the time of consent and, after double opt-in, the confirmation time. After withdrawal, we delete your details. A honeypot and temporary per-IP request limits are used to reduce abuse.
